Privacy Policy

How we collect, use and look after your personal data, in plain English.

Who we are

Minus (MINUS ADMIN LTD) is a UK AI automation consultancy and the controller of the personal data described here. Company number: [Company number]. Registered address: [Registered address].

For any privacy question, email info@minusadmin.com.

What we collect

  • Enquiry form: name, company, email, phone, business description, what you'd like to automate, your message and preferred call times.
  • AI readiness assessment: first name, company, email, your answers and score.

Cookies and advertising

If you accept cookies, we use the Meta Pixel (Meta Platforms Ireland Ltd) to measure how our ads perform and to show relevant ads. It records pages you visit and when you submit one of our forms. If you reject cookies, the Meta Pixel is not loaded.

You can change your choice at any time via "Cookie settings" in the footer.

Why we use it and our lawful basis

We use your data to reply to enquiries, arrange calls and send assessment results. We rely on our legitimate interests and on taking steps at your request before entering into a contract. We do not send marketing newsletters.

AI processing

Your assessment answers are processed by an AI model to write a tailored result email. No automated decisions with legal or similarly significant effects are made about you.

Who we share it with

We use these service providers (processors), who act on our instructions:

  • Google (Google Workspace, Sheets, Gmail, Calendar) — storage and email.
  • Make (Celonis) — form automation.
  • An AI model provider (OpenAI or Anthropic) — generating the result email.

Some processors may transfer data outside the UK. Where they do, it is protected by appropriate safeguards such as the UK International Data Transfer Addendum or UK adequacy regulations.

How long we keep it

Enquiries and assessment results are kept for up to 24 months from our last contact with you, then deleted — unless you become a client.

Your rights

Under UK GDPR you have the right to:

  • access your personal data;
  • have inaccurate data corrected (rectification);
  • have your data erased;
  • restrict how we use it;
  • object to our use of it;
  • receive it in a portable format.

To exercise any of these, email info@minusadmin.com. You can also complain to the Information Commissioner's Office at ico.org.uk.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page.
